Consolidated Invoicing for Car Rental: How to Bill Corporate Clients
Corporate clients want one invoice, not one per rental. Here's how consolidated invoicing works in car rental, and what your rental software needs to support it.
Corporate accounts are some of the most valuable customers a car rental company can win: regular rentals, multiple drivers and predictable revenue. But they come with a requirement many rental systems struggle with: consolidated invoicing. This guide explains what it is, what corporate clients expect, and what your software needs to handle it.
What consolidated invoicing means
With standard billing, every rental produces its own invoice. With consolidated invoicing, all rentals for one corporate client during a billing period are combined into a single invoice, with a clear breakdown underneath.
| Per-rental invoicing | Consolidated invoicing | |
|---|---|---|
| Invoices per month | One per rental | One per client (or per cost centre) |
| Payment | At booking or return | On agreed credit terms (e.g. 30 days) |
| Breakdown | Single rental | By driver, cost centre, project or PO number |
| Best for | Individual renters | Businesses with several drivers |
What corporate clients expect
- One invoice per period (monthly is most common), sometimes split per department.
- Cost centres or PO numbers on every line, so finance can allocate costs.
- Authorised drivers only: rentals by people not on the account shouldn't be charged to it.
- All extras included: fuel, mileage, damage, tolls, parking and fines, each linked to its rental.
- Correct VAT and the client's legal details on every invoice.
- A statement showing what's paid, what's due and what's overdue.
What your rental software needs
1. Corporate accounts
A company record with billing details, credit terms, billing cycle and a list of authorised drivers. Each driver books normally, but the booking is linked to the company account.
2. Rental-level charges
Every rental must capture its full cost (base price, extras, fuel, damage and post-rental charges such as fines) before the billing run. Post-rental items need a way to be added later and still land on the right invoice.
3. A scheduled billing run
At the end of each period, the system gathers all closed rentals for each account, groups them as the client requires, applies VAT and generates one invoice, ideally as a PDF plus an e-invoice or CSV for the client's finance system.
4. Payment schedules and reminders
Track due dates, send automatic reminders and flag overdue accounts, ideally blocking new bookings when an account is over its credit limit.
5. Accounting integration
Push invoices and payments to your accounting software (such as Xero or QuickBooks) so nobody re-types figures.
Off-the-shelf or custom?
If your current rental system already supports corporate accounts and consolidated billing, configure it. If it doesn't, or your clients need special breakdowns, approvals or integrations, a custom module or platform pays for itself quickly in finance time saved and corporate deals won.
In our car rental platform for Go2Cars Australia, payments, payment schedules and digital contracts are managed centrally in the admin panel. That is the foundation consolidated corporate billing builds on. Read more about planning a rental platform in how to build a car rental app.
Common mistakes to avoid
- Invoicing before post-rental charges (damage, fines) are recorded, which leads to awkward credit notes later.
- Letting anyone book on a corporate account without driver authorisation.
- Producing a single total with no breakdown, which finance teams will send back.
- Keeping corporate billing in spreadsheets outside the rental system.

Frequently asked questions
What is consolidated invoicing in car rental?
Instead of billing each rental separately, all rentals for a corporate client in a period (usually a month) are combined into one invoice, often broken down by driver, cost centre or purchase order.
Why do corporate clients want consolidated invoices?
Their finance teams process one invoice instead of dozens, can match costs to departments or projects, and pay on agreed credit terms, which makes your company much easier to work with.
Can my existing rental software do consolidated billing?
Many off-the-shelf systems support only per-rental invoices. If yours doesn't, consolidated billing can be added as a module, or built into a custom platform, connected to your accounting software.
